Confirming Your Appointment
Once you’ve contacted us to set up an appointment for an initial counselling session, we’ll make the arrangements for you and book your session time with the therapist. At this point, we are committing that our therapist will be there for your appointment. So we also ask for your commitment by requesting that you give us your credit card or debit card details to reserve the appointment time (unless you have already given us a pre-authorisation code so that session fees can be invoiced directly to your private health insurer).
These card details are kept securely as a reservation for all booked appointments from the initial session onwards. Your card will only be charged in your absence if you do not attend the scheduled appointment, reschedule or cancel. If session fees are outstanding (whether the booked session has been attended or not), your card may be charged in your absence if you fail to communicate with your therapist to agree timing for payment.
Terms of service for further sessions
In your initial session, your therapist will give you a copy of The Grove’s therapy contract. This outlines our commitment to you, such as working ethically and responsibly, our promise of confidentiality, as well as arrangements for payment and scheduling sessions. It’s in your interests to have a therapy contract, in place from the second session onwards, so that you know exactly where you stand.
Our therapists commit to offering you regular appointments, usually on a weekly basis, because of the importance of maintaining the therapy conversation in ongoing and continuous sessions with the same counsellor. That is the way for you to get the most out of the process. This approach supports the opportunity to build a personalised working relationship so that you benefit from continuity.
How many sessions and ending
Many people ask how many sessions they will need. There is no minimum and there is no maximum number of sessions at The Grove. You get to decide how many sessions you want to have. The only thing we ask is that once you tell you therapist that you want to end the sessions, you return for one more ending session in person, as best practice to respect the scope of the counselling work you have done together. So all the way along, you can end at any point by attending one further session. If you choose not to attend an ending session in person, one session fee will be payable to end the counselling contract.
Our cancellation policy
Missed appointments, rescheduled bookings or cancelled sessions are chargeable in full.
If you’re unable to make your regular appointment or booked session, please contact your therapist, as they may be able to offer you an alternative session that week, subject to availability. But if not, then your booked or regular appointment will be chargeable.
(We find that often we are holding diary time in good faith, for longer than the notice clients can give us regarding cancellation.)
You can pay for your sessions by debit card, credit card, cash, or by cheque payable to The Grove Practice Limited.
Private Health Insurance
Your counselling sessions can also be funded by private health insurance. We work with a number of medical insurers including Allianz, Aviva, BUPA, Cigna, PruHealth, Simply Health, Standard Life and WPA. If you’d like to start up the process of funding your therapy through your private health insurance policy, contact us on 020 7637 7763 and we’ll be glad to help you out.
You can be assured that we will respect your personal information, including card details, which will all be stored securely. According to the ethical codes of our professional bodies, we will keep your personal or financial details safely and will not divulge any of your details (only your therapist and managers of the clinical service will be able to see them).
